Apollo.io: Smarter Contact Finding
If you’ve ever walked away from a networking event with no idea how to follow up, there’s an AI tool for that.
You came, you saw, you networked. But what you didn’t do? Get their contact info. Because business cards are so 2021.
You go back to your desk, find their website, and spend 20 minutes hunting for an email that may or may not exist. Or you send a LinkedIn connection request and hope for the best.
Cold outreach doesn’t end up on most business pros superpower list. And finding the right contact β and their email β is a special skill set. So special that enterprise sales teams have entire (read expensive) systems for.
Good news. There’s a tool that levels the playing field.

Enter the Apollo.io Chrome Extension
Apollo.io was built for sales teams. But its Chrome extension is a genuinely useful research and relationship-building tool for anyone who needs to find the right contact without hiring a full-time researcher.
What Is Apollo.io?
Apollo.io is a “sales intelligence” platform with a database of 210+ million business contacts. (Third-party reviewers sometimes put that number closer to 275 million.) Think of it as a CRM powered by AI β searchable by industry, title, location, company size, and more.
You can use it as a standalone CRM, connect it to the tools you already use, or simply treat it as a contact finder. It also offers a free plan, though the specifics have shifted over time β more on that below.
The main platform can be overwhelming. The Chrome extension is not.

The Apollo.io Chrome Extension
The extension lives in your browser. Land on a company’s website or a LinkedIn profile, click the Apollo button, and the tool surfaces contact details, company info, and background on the people who work there β including email addresses when available.
Accessing an email uses one credit. On the free plan, export and mobile credits are limited (Apollo adjusts these periodically β check their current pricing page for the latest numbers). Email credits are described as “unlimited” on the free plan, subject to fair use limits.
Casual user? The free plan likely covers you. Building a list? Save contacts directly in Apollo and do batch outreach later.
The extension also works while you’re on LinkedIn β keep it open as you research and it surfaces contact info in real time.

How to Use the Chrome Extension
Find the website or profile β click Apollo β see email and contact info β reach out or save for later.
- Go to a company website, staff page, or LinkedIn profile.
- Click the Apollo extension in your browser.
- See the results: email, job title, company info, sometimes a phone number.
- Email directly, save to a list, or copy the info.
That’s it.
Cold outreach isn’t most people’s superpower. Apollo closes the gap by finding the right contact and the right email.

What Info Does Apollo Share?
Each record is either a company profile or a contact profile. In a company profile, you can browse employees and click through to individual records β title, employment history, background. It pulls heavily from LinkedIn and public web data.
Fair warning: the AI-extrapolated details can be entertaining. My own profile lists my annual revenue at $4.4 million. (If only.) Intro text and categories can also lag behind recent updates. Treat it as a strong starting point, not gospel.
You can make notes directly in the extension β handy if you’re using it as a lightweight CRM. Just know that anything you save lives on Apollo’s servers. See the privacy note below.

Real-World Use Cases
Conference Follow-Up
You met someone at an event. You have their name and company. Back at your desk, pull up their website, click Apollo, find their email. Send a follow-up that references your actual conversation. That alone makes you ten times more memorable than the person who sends “Great meeting you!” three weeks later.
Finding the Right Decision-Maker
Want to pitch a corporate sponsor, land a media placement, or get in front of a procurement officer? Apollo helps you skip the “contact us” form and find the actual human who can say yes.
Finding Local Partners or Referral Sources
The right referral partner can change your pipeline overnight. Use Apollo to find complementary businesses in your market, identify the owner or decision-maker, and reach out with something specific. “I noticed you’ve been serving the South Valley for over a decade β I think our clients overlap” is a conversation starter. A cold form submission is not.
Nonprofits Finding Sponsors or Grant Officers
You’ve identified foundations or corporations whose values align with your work. Apollo helps you find the exact person in the philanthropy or marketing department β so your pitch lands with someone who can actually act on it.
Level Up Your Outreach
Once you have an email, take one more step. Drop it into Claude or ChatGPT and ask: “Is this person still at [Company]? Can you find anything recent about them β a project, a post, a bio I could reference?”
Five minutes. Dramatically higher response rate. You’re not just finding the right contact β you’re showing up like someone who did their homework.
Apollo’s Limitations
Data gets stale. People change jobs, emails change, titles shift. Apollo does real-time verification when signals are available, but expect some bounces.
Not everyone is findable. Low digital profile means thin Apollo record. Sometimes you’re back to manual searching.
The free plan has real limits. Email credits are generous. Export and mobile credits are not. If you need phone numbers or want to push contacts to another tool, you’ll hit the ceiling fast.
The main platform is a lot. The Chrome extension is intuitive. The full Apollo platform β sequences, scoring, dialers β is built for sales teams and can feel like learning a new language. Stick with the extension until you know you need more.
Privacy caveat. Apollo has been involved in data breach incidents and has faced scrutiny over data scraping practices. Notes and lists you save live on Apollo’s servers. If you handle sensitive contact data, review their privacy policy before using it as a CRM substitute.

A Note on the Sales Intelligence Competitive Landscape
This post was originally published in October 2025 and revised in April 2026.
When this post was first written, Apollo stood out as a genuinely novel way to democratize contact data. It was a powerful alternative for tools that used to cost enterprise money.
That’s less true today. Tools like Lusha, Hunter.io, Snov.io, Skrapp, and ContactOut all offer Chrome extensions that do roughly the same thing β surface emails and phone numbers while you browse LinkedIn.
So why still recommend Apollo? A few reasons. It’s one of the few tools that works just as well on any company website as it does on LinkedIn β not just a profile overlay. Its database is among the largest available on a free plan. And for someone who wants a single, simple, browser-based tool without buying into a full sales stack, it still clears the bar.
If you want to compare options before committing, Hunter.io is worth a look for straightforward email finding, and Lusha is strong if phone numbers matter to you. But if you want one tool that works everywhere and costs nothing to start, Apollo remains a solid first choice.

The Bottom Line
You don’t need an enterprise sales team to do smart outreach. You need one browser extension and five minutes of research.
Find the contact with Apollo. Personalize the message with AI. Stand out from every generic email in their inbox. That’s the start of a great relationship.
Key Takeaways
- Finding the right contact is half the battle. Apollo.io’s Chrome extension surfaces verified emails and company data in one click β no more hunting through staff pages.
- Apollo.io works beyond LinkedIn. Unlike most contact-finding tools, Apollo’s extension works on any company website, giving you a fuller picture of who to reach and how.
- Apollo AI’s free plan is a genuinely valuable starting point. With access to Apollo’s 210M+ contact database at no cost, small business owners can do smart outreach without a sales budget.
- AI-powered outreach starts with accurate data. Pair Apollo with ChatGPT or Claude to verify contacts and personalize your message β and watch your response rates climb.
- The contact-finding tool landscape is crowded, but Apollo still leads on database size and flexibility β making it the strongest free option for entrepreneurs who want one tool that works everywhere.
