Overwhelmed by AI? Think of It in Three Pillars

Most business leaders think AI is just about speed—writing faster, posting on social media. But that’s only part of the story. In this episode, we break down the three core categories that every AI tool falls into, then walk through ten specific business moves that take you from AI dabbler to AI pro. No tech skills required.

The real power of AI isn’t just amplification. It’s learning to think more strategically about your business, build systems that work without you, and ultimately, create something that actually matters.

Key Takeaways

  • AI falls into three categories: Amplify (speed), Analyze (strategic thinking), Automate (systems)
  • Most leaders start with amplification and never move deeper—that’s leaving money and strategy on the table
  • Your competitive advantage isn’t in using AI faster; it’s in using AI to think smarter
  • Automation is leverage—build once, benefit forever
  • AI is a tool that serves your vision, not a replacement for having one
  • The businesses winning with AI aren’t using it to do what everyone else does faster—they’re using it to think differently
  • The PCR prompt (Pros, Cons, Recommendations) is a daily power move that forces strategic thinking
  • One piece of content can become ten through smart distribution systems
  • The most dangerous mistake is moving faster in the wrong direction

The Three Pillars of AI: A Simple Framework for Business Leaders

AI isn’t one thing—it’s an umbrella term covering chatbots, image generators, automation platforms, data analyzers, and hundreds of tools launching every week. The overwhelm is real. But here’s the good news: every AI tool falls into one of three categories.

Once you understand this framework, everything else makes more sense.

Pillar 1: Amplify — Speed Moves That Compress Time

AI helps you work faster by compressing the time between thinking and doing. You go from blank page to first draft in minutes instead of hours. This is where most leaders start—and that’s fine. But it’s just the warm-up.

Pillar 2: Analyze — Where AI Changes How You Think

This is where the real magic happens. Amplify helps you work faster, but Analyze changes how you think, not just how fast you work. This pillar forces you to think strategically about your business, question your assumptions, and make decisions based on data rather than intuition.

Pillar 3: Automate — Building Systems That Work Without You

Automation is about leverage. You build a system once, and it works forever. This is where you start creating repeatable processes and freeing up your time for your best work.

🌿 🌿 🌿 🌿 🌿

The Ten Business Moves: Practical AI Applications

Amplify: Moves 1-3

Move 1: Write the First Draft of Anything

Stop staring at a blank page. Whether it’s a proposal, email, presentation outline, or report, AI can generate a starting point in minutes instead of hours. You’re not publishing AI’s output as-is (don’t do that). Instead, you’re using it to eliminate the friction of starting from zero. You edit it, shape it, make it yours. The speed gain is about getting from “blank page paralysis” to “something to work with” quickly.

🌿 🌿 🌿 🌿 🌿

Move 2: Brainstorm Ideas When You’re Stuck

Creative ruts are real. When you’re stuck, ask AI to generate ten angles on a problem or ten different approaches to a challenge. Five of them will be garbage. But two of them? Those two will make you think differently. That’s the win. You’re not using AI’s ideas directly—you’re using AI to break through mental blocks and see possibilities you were too close to see on your own.

🌿 🌿 🌿 🌿 🌿

Move 3: Turn Vague Ideas Into Structured Plans

You’ve got a rough concept, but it’s fuzzy. Feed it to AI along with your constraints (timeline, budget, team size, audience). Out comes a framework: phases, milestones, dependencies, next steps. Now you can actually see the shape of the thing. This moves you from “I have an idea” to “I have a plan I can execute.”

🌿 🌿 🌿 🌿 🌿

Analyze: Moves 4-6

Move 4: Analyze Large Volumes of Data You Already Have

Most leaders are drowning in data they’ve never actually analyzed. You have six months of customer feedback, market reports, competitor announcements, annual reports, quarterly reports. That’s thousands of data points. Manually reviewing this would take weeks.

With AI, you spend an afternoon. Upload all of it into an AI chat and ask: What trends am I missing about my own business? What are customers really saying? Has the feedback gotten warmer or cooler? What’s my blind spot here?

You’ll see patterns you would’ve completely missed. Often, the insights are already in your data—you just haven’t had time to see them because your noisy to-do list took precedence.

🌿 🌿 🌿 🌿 🌿

Move 5: Run a Competitive Analysis

Most founders think, “Oh my gosh, this is the best business idea ever. I can’t believe no one is doing it.” Unless you invented the hula hoop, some element of what you’re doing has been done before. And that’s actually good news—it means people already want your service.

Here’s how to leverage AI: Tell it either “These are my competitors” or “Find competitors doing similar work to me.” Then ask:

  • What do they do better than me?
  • Where am I lagging?
  • What could I improve?
  • How am I different?
  • What do I still need to do to compete or excel in this arena?

Feed AI as much data as possible: your business plan, your target customers, your voice and positioning. The more context AI has about who you are, the better the analysis. You’re not copying competitors—you’re understanding the competitive landscape so you can position yourself strategically.

🌿 🌿 🌿 🌿 🌿

Move 6: Use the PCR Prompt (Pros, Cons, Recommendations)

This is the daily workhorse prompt. AI learns about you over time, so the more you use this prompt, the better the recommendations get because they’re customized to what AI knows about your business.

Example: “I’m thinking about upgrading my newsletter strategy. Instead of monthly, I want to send weekly. What are the PCRs?”

AI might respond:

  • Pros: Hearing from you more frequently keeps you top of mind with customers
  • Cons: Weekly newsletters require more time and resources. Does your business have capacity?
  • Recommendations: Based on your situation, here’s what would work best

If the recommendation misses the mark, you can say, “Actually, I don’t focus on that—let me reframe,” and AI adjusts based on new information. Use this for everything: should I go out to dinner in the rain? Should I pivot my business strategy? Should I hire an assistant? The PCR prompt forces strategic thinking by making you weigh tradeoffs.

Automate: Moves 7-10

Move 7: Automate Your Admin Tasks

The classic example: A client still has interns manually inputting business cards. The intern never has time. Cards pile up. By the time they go into the database, people have forgotten who you were. You get angry “unsubscribe” marks. There’s zero reason for a human to input business cards in 2025.

The automated system:

  1. You attend a trade show and scan business cards as you meet people (or at the end of the day)
  2. The scan automatically goes into a container (tool like Zapier, Make, or native integrations)
  3. An automated email goes out immediately: “Great meeting you at [event]. Would love to stay connected—can I add you to my list? Want to set up a call?”
  4. Their response triggers the next step automatically

Build this once before you attend the show. Then you can use it for every event, forever. The intern never touches another business card.

🌿 🌿 🌿 🌿 🌿

Move 8: Build Workflows (If-Then Statements)

Workflow automation eliminates repetitive back-and-forth that wastes everyone’s time.

Examples:

  • If someone subscribes to your newsletter → Then they automatically get a welcome email with ways to work with you
  • If someone requests more information or asks for a meeting → Then they automatically get your calendar link to self-schedule (eliminating “How’s Thursday at 3? How’s Friday at 2?” ping-pong)
  • If a customer completes a purchase → Then they automatically get onboarding instructions and next steps

Ask AI to help you design the workflow and create the emails that go out automatically. Most newsletter tools (Kit, Mailerlite, Mailchimp, Constant Contact) have built-in automation, but AI can help you create better workflows and more compelling copy.

🌿 🌿 🌿 🌿 🌿

Move 9: Create Content Distribution Systems

Write once. Distribute everywhere.

You write a blog post, long-form LinkedIn post, or client letter explaining what you do. Take that one piece and ask AI: “Give me 3 tweets, 3 Facebook posts, 3 LinkedIn posts, 3 Pinterest pins, and a content calendar across all platforms.”

One artifact becomes an entire ecosystem of content. You can even ask AI to:

  • Watch for duplication
  • Maintain appropriate posting frequency
  • Build a calendar that spreads content strategically
  • Adapt tone for each platform

This eliminates the daily stress of “what should I post today?” You have a full system ready to go.

🌿 🌿 🌿 🌿 🌿

Move 10: Reduce Human Error With Automated Quality Control

When I was a journalist, no piece of content got published without a second set of eyes (third for cover stories). Most small teams don’t have the bandwidth for proofreading and quality checks.

Solution: Build a second automation layer that checks the output of your first automation:

  • Are there typos or grammar errors?
  • Does this align with my brand voice?
  • Does it match what my customers actually need?
  • Are client names and contract numbers correct?

You’re essentially building a second set of eyes into your system so you don’t accidentally send an RFP with the wrong client name or a welcome email with typos. This takes 10 minutes to set up and saves you from looking rushed or careless.
